How does this compare to GoodX / Healthbridge / Practice Better?+
Per-practitioner pricing on those lands a typical 5-practitioner practice at $250-$365/month (GoodX cloud, Healthbridge full PMS) or about $155+/month for Practice Better's top tier with no SA scheme integration. Our Practice tier is $349/month flat for up to 5 practitioners — and we ship the medical/wellness hybrid (functional medicine doctors with coaches on staff) that GoodX over-serves and Practice Better can't claim against.
I'm already on GoodX / Practice Better / Cliniko — is migration painful?+
Self-serve CSV import, done by us during your onboarding call. Each section of FreedomOS Healthcare — patients, practitioners, appointments, visits, allergies, medications, conditions, billing — has a download-template / fill / upload flow. We have export guides for GoodX, Practice Better, Cliniko, Jane, SimplePractice, Healthbridge. You bring the CSVs, we do the mapping. Most practices are fully off their old PMS within 7 days. Parallel-run for 30 days if you want belt-and-braces.
Who owns my patient data? What about POPIA?+
You. Always. Each practice gets its own dedicated Airtable base — we're infrastructure, not a marketplace. Patient data is special personal information under POPIA s26: AES-256 envelope encryption at rest, audit log on every record read (5-year retention), field-level RBAC (receptionist sees demographics + billing, billing clerk sees codes only, practitioner sees full chart), 6-year retention with minor / lifetime / 25-year exceptions enforced by code. Operator agreement signed at onboarding. Cross-border consent in patient onboarding. POPIA Subject Access Request workflow with SLA built in.
Can I white-label the patient portal under my practice's brand?+
Two tiers. Light white-label is automated and free on Solo / Practice — paste your logo URL + brand colours in Settings, the portal re-skins itself everywhere instantly. Patients see your practice's brand, never ours. Full white-label (your custom domain, custom email sender domain, FreedomOS mentions removed) is included in the Clinic tier. On Solo / Practice you can add Full white-label as a $199 one-time setup fee.
How does the Telegram side work — do my patients get spammed?+
No — Telegram is your practitioner ops layer alone. You and your team get the daily 07:00 SAST digest, abnormal-result alerts, no-show pings, claim-rejection nudges, and one-tap actions on your phone. Your patients use the portal — branded as your practice — to fill the intake, see released results, track their programme, pay invoices, and book appointments. They never need Telegram; you stay on top of everything from your phone.
What about wellness practitioners without HPCSA?+
Welcome. Coaches, wellness practitioners, ASCHP / COMENSA registered — anyone delivering structured care. You'll bill cash; can't claim from medical aids without a PCNS practice number, but the platform supports cash-only practitioners as first-class users. Year-end AMTC tax certificates for your patients are still generated. Solo tier is built for exactly this.
What does the AI scribe actually do? Is it secure?+
With patient consent (signed separately from POPIA), the consult conversation is recorded and transcribed by AI. The system drafts the SOAP note, surfaces ICD-10 + tariff candidates, and generates a plain-English handout. You review, edit, sign off — usually in under 60 seconds. Recordings are encrypted at rest and deleted from the AI scribe service within 24 hours. Off by default; per-patient consent gate. +$15/practitioner/month add-on; never bundled.
Does it work for non-SA practices?+
The scheme + tariff + ICD-10 + NAPPI layer is SA-default at launch (since we built around SA pilot practices). For UK / AU / US, we tweak the tariff + insurance billing rules during onboarding. The rest of the platform — patient portal, scheduling, SOAP capture, programmes, telehealth, AI scribe, POPIA — is jurisdiction-agnostic. If you're outside SA, mention it on the form so we can quote your specific rules.
What happens if we grow past our tier?+
You move up. Solo (1 prac · 50 patients) → Practice ($349, 5 prac · 250 patients) → Clinic ($749, 15 prac · 1,000 patients) → Rehab / Enterprise (custom). No silent overage charges, no surprise bills — when you need to upgrade, we have a 5-min call to confirm. The setup fee for upgrades is just the difference between tiers (e.g. Solo→Practice = $250 once, not $349 again).
When does my subscription start? When am I charged?+
Your subscription starts on the day your platform goes live, not the day you book the demo. The 5-7 day onboarding window is on us. Setup fee is invoiced after the demo + tier confirmation; monthly subscription starts at go-live. No card stored at the demo stage — all payment details captured after you confirm tier on the call.
Can I cancel?+
Yes — anytime, with 30 days written notice. Notice can be given via PayPal or by emailing info@freedomhub.io. The 30 days run from when we receive notice; you keep full access during that window and any standard billing date inside it is charged at your normal rate. After the 30 days, no further charges. Your data exports out cleanly via the POPIA Subject Access export — every patient record, visit, billing line, comms log, and audit log in machine-readable format. The 30-day notice is standard B2B SaaS — it lets us close out cleanly and avoid mid-month interruptions for your patients.
How does the refer-a-friend 25% credit work?+
It runs across every FreedomOS product, not just Healthcare. When a business you introduce signs up and pays for their first month on any product (Coach, Accounting, Tourism, Services, Healthcare), your next monthly invoice is automatically credited 25%. No cap, no expiry, runs as long as you're a customer. Important: credits only reduce future invoices — they never convert to cash, can't be transferred, and can't take an invoice below zero.
